    Inbox → classify → tag → draft

  • Call summaries straight to CRM

Call → transcript → action items

  • Document data extraction

This project repaired lead capture and monitoring. It shows the integration work that AI workflows also depend on; it was not an AI deployment.

Common outcomes

AI that earns its keep.

  • Inbox that triages itself.

Inbound emails get classified, lead, support, supplier, junk, and routed. The high-priority ones land with a draft reply already written in your tone.

  • Calls that summarise themselves.

Discovery call → transcript → summary → action items → CRM record. Review the summary and actions without manually copying between tools.

  • Documents that read themselves.

Invoices, receipts, forms, contracts, extract the structured data without copy-paste. Push it straight into Xero, your CRM, or a database.

  • AI that knows your business.

A private knowledge base over your own documents and SOPs, so staff can ask "how do we handle X?" and find a grounded answer with references to review.

What I build

AI workflows that actually fit your business.

  • Lead classification + tagging

Form submissions and inbound emails auto-categorised, scored, and routed to the right CRM stage. No more manual triage.

  • Meeting transcription + action items

Hooks into Zoom / Google Meet / Teams. Auto-summary, action items, follow-up email draft, CRM note, all without you lifting a finger.

  • Document data extraction

Pull line items off invoices, fields off forms, key terms out of contracts. Push the structured data wherever it needs to go.

  • Reply drafting in your tone

Draft replies informed by examples of your writing, ready for you to review before sending.

  • Private knowledge-base chat

Answers grounded in your SOPs, FAQs and product documents, with citations and review for uncertain cases. AI can still make mistakes.

  • Voice notes → structured content

Record a voice note → blog draft, newsletter, SOP, social post. Useful when ideas come faster than fingers can type.

What's up everybody, just wanted to give this quick shout out to Dan, because Dan is the absolute man and he helped me fix some automations I was having problems with, and it was just amazing, because I literally had to do nothing, all I had to do was just delegate that task to Dan and he got it done for me. So it was, I had a problem with my ads, and some of my opt-ins went in, they weren't getting registered correctly, so I had Dan come in and Dan helped me fix his stuff in no time. He was so attentive to everything I was telling him, he understood exactly what I wanted. I was still going to be setting up some more automations down the line, but he helped me fix that issue at the exact point where I needed it. So that's why I'm going to 100% recommend Dan to anyone who's looking to set up automations. There's so many people out there, but when it comes to actually being attentive and being communicative, Dan is the guy and understanding what you need and implementing it in the exact way that you envision it to be. So I highly recommend Dan, and you've absolutely changed my life, you've helped me fix this automation, and since then everything has been running smoothly and I'm going to be working with Dan moving forward. So thank you guys, and thank you Dan, you're the man.

FAQ

Common questions about AI builds

Is my data safe? Where does it actually go?

We choose the provider and deployment around your requirements. Before building, we agree where data is processed, how long it is retained, who can access it, and whether it can be used for training. Those settings depend on the service and configuration; Australian or self-hosted options can be scoped where appropriate.

What if the AI gets it wrong?

AI can make mistakes, even when an answer sounds confident. We agree which actions need human approval, test against representative examples, and define an escalation path for uncertain results. Sensitive actions need explicit safeguards.

Will this replace my staff?

Not for most SMBs. It removes the repetitive parts of their job, data entry, triage, drafting, so they can focus on the work that actually needs a human. If anything, well-built AI lets a small team do the work of a bigger one without the payroll.

Which AI provider do you use?

Whichever one's right for the job. OpenAI for general workflows, Anthropic Claude for careful reasoning and longer context, smaller open-source models when cost or privacy matters more than capability. Most builds use 2-3 in combination.

How do you price AI work?

Same as everything else, fixed-price for the build. Running costs (API usage) are a separate monthly line and scale with your volume; for most SMBs it's $20-$200/month, billed at provider cost with no markup.
